Onboarding in Motion is designed to be quick and straightforward. This guide gives you extra context at each step, so you're not only setting things up but also understand why it matters. Our goal is simple: by the end of onboarding, you’ll have a Motion workspace tailored to your business, with projects, teammates, and AI Employees already working for you.

Getting to Know You

Before Motion can help you plan and organize, we’d like to get to know you a little better. These first steps make sure your workspace feels personal and set up for success from the start.

Step 1: Choose your plan

Your plan isn’t just a , it’s the capacity for how much your AI can do for you. Credits = output. The higher the plan, the more credits you get to supercharge your work.

  1. Light work? The Workplace and Light plan keeps you moving.

  2. Scaling fast? Standard and Plus give you tens of thousands more credits to handle bigger workloads, from nonstop meetings to high-volume task management.

  3. Growing team? Higher plans bundle extra seats so your people and AI can scale together.

💡Thinking about the cost of your plan

You are deciding between AI Employee light ($99) vs AI Employee Standard ($299) and the price difference feels like a jump — until you realize what you’re really buying. Not “credits" but more time for yourself.

Here’s the math:

  • 8 hours of your time at $35/hour = $280.

  • The upgrade costs $200.

So if Motion saves you just one full day in a month, it pays for itself. And because Standard gives you 4x the credits (not just 3x), every extra task Motion handles is pure bonus. 🎉

Think of it this way: You’re not buying “credits,” you’re gaining back time during your working days. The more you let AI handle, the more valuable the upgrade becomes.

Step 2: Set up your Motion Workplace

Now that you’ve joined, it’s time to set up your workspace, the hub where all your projects, tasks, and AI-powered workflows come together. This ensures you have one place to plan and run your work.

You don’t need to wait for a confirmation email, you can get started right away. Just go to app.usemotion.com and sign in using the same method you used when signing up:

  • Email + password: log in with the same credentials.

  • Google, Apple, or Outlook: use the same account option you chose at signup.

If you step away at any point, when you return, you’ll pick up right where you left off in the onboarding flow.

After signing in, you’ll be walked through a few quick setup questions so Motion can personalize your workspace. The onboarding flow starts with:

Describe your business

We’ll ask you a few quick questions about your company: what you do, your focus, and your team size (if applicable, if you are an individual user skip this question). This helps Motion tailor recommendations and pre-build workflows that actually fit how you work. 💡 Example prompt “I work at a management consulting firm. We help mid-sized companies improve their operations and scale efficiently. Here’s our website: aiemployeesconsulting.com.”

Share your role at the company

Tell us what hat you wear. Are you leading strategy, managing operations, or getting hands-on with delivery? Your role helps Motion surface the most relevant tools and AI skills so you can hit the ground running.

Invite your teammates

Motion is designed for teams, when you sign up, your account is automatically a team account.

  • If your email domain matches an existing team in Motion, you’ll see a popup asking if you’d like to join that team or create a new team.

  • Admins can control this behavior in settings:

    1. Auto-join by domain: Teammates with the same work email domain are automatically added to the team.

    2. Join request list: New teammates can see the organization in their signup flow and request to join.

💡 Pro tip: Motion works best when your whole team is onboard. Add teammates early so projects, tasks, and AI employees can flow across everyone’s calendars and priorities. If your team isn’t ready yet, you can always invite them later.

Step 3: [Walkthrough] Creating Your First Motion Project

When you first set up your Motion workspace, the app walks you through building a project step by step. This not only gets you familiar with Motion’s workflow but also gives you a reusable project template you can apply in the future.

Here’s how the process unfolds:

Share an upcoming project

Motion uses what you’ve already shared about your business to suggest relevant projects. If you mentioned consulting, you might see examples like:

  1. “I’m working on implementing a new ERP system for a retail client — from requirements gathering to training.”

  2. “I’m planning a cost optimization initiative to help a client’s operations team cut spend.”

These prompts are just starting points — you can edit them, combine them, or write your own to match exactly what’s on your plate.

Add more details

Once you choose a project prompt, Motion pre-fills a project description with stages and roles. For example, if you select implementing a new ERP system, you’ll see:

  1. Stages (milestones): Research, Design, Sprints, and Release.

  2. Roles: Consultant, Project Manager, Solution Architect

You can edit this to match your actual team’s structure, goals and processes, making it flexible yet structured.

Motion auto-generates your plan

With one click, Motion creates a draft project plan.

  1. Each stage is broken into tasks (e.g., “Collect existing materials” → “Draft content” → “Design solution”).

  2. Tasks are assigned suggested roles to show who would typically own them.

This gives you a clear, ready-to-execute roadmap in under a minute.

Assign tasks to your team

Next, you’ll be prompted to assign each role to a real team member.

  1. Example: Consultant → Alex, Project Manager → Jamie, Solution Architect → Taylor.

  2. Tasks automatically map to the right person, so everyone knows their responsibilities.

Save as a reusable template

Once confirmed, Motion saves your project as a template. This means:

  1. You can reuse the same structure (stages and task) for future projects.

  2. Your team won’t have to reinvent the wheel every time you launch a similar initiative.

Motion transforms project setup into a guided, automated process. In minutes, you go from a vague idea (“we need an onboarding guide”) to a fully built project with roles, tasks, and stages — all saved as a reusable template.

Turn on daily briefs so you walk into every meeting prepared. Motion will gather agendas, key notes, and context in advance, so you can focus on the conversation instead of scrambling last minute.

Activate your AI coach to get real-time insights and guidance during important meetings. Think of it as having a strategist in your corner—flagging risks, surfacing talking points, and making sure nothing slips through the cracks.
