Motion Documents provide a central place for capturing information, whether you’re taking quick notes, writing down ideas, or creating a company wiki. But what makes them powerful is how seamlessly they integrate with tasks, projects, and team collaboration—all within the Motion platform.
What Are Motion Documents?
Motion Docs function similarly to Google Docs or Notion but are deeply connected to your projects, tasks, and team collaboration. They allow you to:
- Write notes, brainstorm ideas, or document processes
- Store company knowledge in a structured way (like a wiki)
- Link tasks and projects directly inside your documents
- Create action items instantly using AI-powered commands
Because Motion Docs are integrated with the rest of the Motion platform, they eliminate context switching—you don’t have to jump between tools to manage information and action items.
Note: We are starting rollout today, and will be gradually rolling out to everyone over the next few weeks
Changes to the Motion UX
- On the sidebar, there's now a big blue "+ New" button. This button lets you create Projects, Tasks, Documents and Meetings/Events
- The "My Tasks" workspace is being renamed to "My Private Workspace" since now you can add documents to it
- Search is now global and more prominent. There's a new search bar right under the big blue button
- We now have a brand new "Navigate" experience. When clicking on a workspace, folder or project, by default Motion will show you a list of folders and documents. But don't worry, your task list is still right next to the navigate tab
Features of Motion Documents
Rich Text Formatting
Motion Docs support various formatting options, making them perfect for any type of content. You can create:
- Bullet lists and numbered lists
- Tables for organizing structured data
- Code blocks for technical documentation
- Headings and paragraphs for better document structure
At-Mentions and Linking to Other Items
Motion Docs allow you to link to any document, task, or project simply by typing the @ symbol.
For example:
- Typing @Marketing Plan instantly links to an existing document
- Typing @Website Redesign links to a project
- Typing @Review Content Guidelines links to a task
This makes it easy to connect related work without needing to manually search for links.
Mentioning Teammates and Notifications
If you need to get a teammate’s attention, just @ mention them in a document.
- Typing @Sarah inside a doc automatically notifies Sarah, ensuring she sees the note
- This is great for assigning follow-ups, asking questions, or collaborating in real time
Mentions in Motion Documents ensure that nothing gets overlooked—team members are automatically notified when they’re tagged.
Inline Task, Project, and Document Creation with AI (rolling out gradually over the next few weeks)

Instead of switching to another tab to create tasks or projects, Motion allows you to create them directly within a document using the / command.
- Typing /task lets you create a new task, and Motion AI will automatically fill in relevant fields like due date and assignee
- Typing /project creates a new project inline, linking it to the doc
- Typing /doc creates a linked document, keeping everything connected
This makes note-taking in meetings, brainstorming sessions, and project planning much more actionable.
Where can documents exist?
- Documents can exist right under a workspace or folder
- Documents can have nested documents
- Documents can exist within projects, you can add documents to projects or move existing documents within a project! This allows even more options for organization. You can also access documents in projects from the project details view (aka the project Modal)
Attachments
- You can drag and drop attachments inside a document
- You can also drag and drop images inside a document
- You can link a youtube video in a document, and Motion will automatically generate a preview. You can also play an embedded video right from the document (yes, this also works on the mobile app)
Comments and Collaboration
Motion Docs support inline comments and threaded replies, making collaboration simple.
- You can highlight text and add a comment for discussion
- In comments, you can mention people, tasks, projects, and other documents to keep context clear
- Team members can reply to comments, keeping discussions organized and reducing the need for extra meetings
Sharing
Motion Docs can be shared with people that are not part of a workspace (and soon with external people). To do so, simply click on the share button of the document and choose who to share with.
- You can share documents from your private space with individual people to keep documents private
- You can also share individual documents with an entire workspace
- And soon you'll be able to share documents with external guests
When a document is shared with you from a workspace you don't have access to, the document will be placed in the shared section at the bottom of the sidebar for easy access
Mobile
We're introducing a new Mobile Home tab where you can find all your documents. Think of the Mobile home tab the same way that you think about the sidebar on desktop.
One key feature of the mobile home tab, however, is that it has a "recently opened" section, that way you can quickly find and open any document you've recently seen on any device.
When you open a document on mobile, you can expect them to be fully functional, everything you can do on desktop, you will be able to do on mobile as well (comments coming soon)
Tabs on the Desktop app
If you are using the Desktop app, we are also introducing Tabs. You will be able to have multiple tabs open at the same time within the Motion app to quickly switch from one to the other.
(Note: in order to make sure the app is performant, we will be rolling this out slowly, so you may not have this on day one)

Motion Documents can be used in many different ways across a team or company. Here are a few examples:
- Meeting Notes – Capture key takeaways, decisions, and action items in one place. Use @ mentions to assign follow-ups immediately.
- Company Wiki – Store company knowledge, processes, and guidelines in structured documents, making it easy for employees to find information.
- Project Documentation – Document requirements, specifications, or client briefs, linking them directly to related tasks and projects.
- Brainstorming and Ideation – Create idea boards, collect feedback, and instantly turn notes into actionable tasks with the / command.
- HR and Employee Onboarding – Store onboarding materials, policies, and checklists in an organized, searchable format.
- Client Collaboration – Share important project details and progress updates with clients using Motion Docs. (coming soon)
