AI has deeply expanded our capabilities to protect our time and prioritize our most important tasks.
And as a result, we’ve been introduced to some tools that can help us do just that.
In this article, I’m going to break down two of the most well-known intelligent calendar and productivity tools in the space — Reclaim and Clockwise.
We’ll dive into each of these tools, where they thrive and where they fall short, and also, introduce you to your new favorite calendar and productivity tool, Motion.
Another calendar optimization tool worth noting
Throughout this article, I’ll primarily be comparing Reclaim and Clockwise.
However, I did want to also showcase the areas where my personal favorite productivity tool, Motion, beats out both of these tools.
Motion is a robust AI-powered productivity tool designed for individuals and teams with packed schedules.
By seamlessly integrating calendar management, project timelines, and task lists, Motion helps users streamline their daily activities and improve overall efficiency.
It does, of course, offer some similar features to both Reclaim and Clockwise - but it outperforms them both in team capabilities and project management features.
Read on to learn more!
A quick look at Clockwise vs. Reclaim
Clockwise is best for large teams and organizations with many internal meetings.
These users can use the tool to increase team productivity and focus time by optimizing calendar management.
Reclaim is best for managers or individual contributors who need to protect their time.
It’s also helpful for people who need help making space for routines, breaks, and focus time and rely on external project management tools to complete their tasks.
Clockwise is a true team calendar optimizer
As someone who's constantly juggling meetings and deadlines, I was intrigued by Clockwise's promise of optimizing my team's calendar.
And let me tell you, it delivers on that front.
With Clockwise, you can simply tell it in plain English via chat to reschedule a meeting, and it will automatically find the best time slot for everyone involved, taking into account all your team members' schedules and priorities.
It’s also extremely focused on ensuring users have enough focus time each week.
So for companies that are really focused on ensuring their employees are creating enough space for deep work, meetings, and breaks, it’s an excellent option.
Reclaim shines for individual contributors and managers who need to protect their time
Reclaim, on the other hand, is more focused on personal time management.
While it can help you block off focus time and schedule one-on-one meetings, it doesn't have the same level of team calendar optimization as Clockwise.
So, If you're part of a larger team with frequent internal meetings, Clockwise is the clear winner here.
The smart meetings feature from Reclaim is also highly praised, as it helps users put all of their recurring meetings on “auto-pilot.”
This means the scheduler will set an ideal date and time, but the meeting will be scheduled based on the best available times for everyone in that group.
And if a meeting needs to be rescheduled for some reason, a new time will be automatically suggested.
But let's not overlook the limitations of Reclaim.
While it offers features like "Habits" for recurring tasks or blocks of focus time, it lacks the sophisticated task auto-scheduling and dynamic prioritization that Motion offers.
Reclaim might help you carve out space for deep work, but it doesn’t adjust your schedule on the fly as tasks get completed or delayed.
Motion automates this process, removing the cognitive load of constantly reorganizing your schedule and allowing you to focus on what truly matters.
Clockwise is more affordable, but Reclaim offers a free plan
Price is always an important factor when evaluating a new tool.
In the breakdown of cost, Clockwise does end up being slightly less expensive than Reclaim.
The basic version of Clockwise starts at $6.75 per user, per month, while the basic version of Reclaim starts at $8 per user, per month.
One big caveat, however, is that Reclaim does offer a free version of its product that is detailed enough to give you a feel for its features and functionality.
Understandably, this plan limits some of Reclaim’s best features.
For example, it only allows for three habits, and one smart meeting, and it doesn’t give you access to any integrations with task or project management tools.
Reclaim integrates better with your existing tools
This is a bit dependent on what integrations are most important to you, and your company.
For example, if Outlook is important, Clockwise has an integration at the moment while Reclaim doesn’t.
But this is changing soon as the Reclaim Outlook integration will be released later this year.
Additionally, Clockwise has a Chrome Extension that is highly appreciated. But - when it comes to project management tools, Reclaim wins this by a landslide.
Reclaim integrates with Asana, ClickUp, Jira, Todoist, Linear, and even Google Tasks.
Clockwise only integrates with Asana. This totally eliminates Clockwise’s ability to accurately understand your capacity as it doesn’t take your actual tasks into consideration.
But this is a nonissue with Motion, as its project management capabilities are SO thorough, that you don’t even need an additional tool like Asana or ClickUp.
Because of Motion’s advanced project and calendar management features, it is the MOST accurate way to actually understand your actual capacity.
Clockwise offers a better scheduling tool
Both Clockwise and Reclaim give their users the ability to share a scheduling link with external guests so that they can book a meeting at a time that works best for everyone.
However, the Reclaims scheduler is very bare-bones. It does not offer users the ability to ask more questions to better prepare for the meeting.
This is a feature Clockwise does have. Again, Motion’s scheduler (also referred to as their AI Meeting Assistant) is far more advanced than both of these tools.
Motion allows users to send custom meeting booking pages, and links that show your availability. It also showcases your preferred meeting time.
It also allows users to send preliminary questions with the meeting link. One of my favorite Motion features allows you to set a scheduler link as a higher priority.
This means, that it'll actually book meetings on top of scheduled tasks, and even on top of scheduled events that are a lower priority.
Clockwise vs. Reclaim: What G2 users are saying
I didn’t want to share only my opinion in this article, so I went to the G2 archives and searched for feedback from users of both products.
Below, you’ll see feedback from users that favor each product, for different reasons.
Clockwise
The Good 🙌
- “It is inconvenient to go around other people's calendars to find good slots to propose meetings. Moving meetings or optimizing the agenda is also a tedious and time-consuming task. Since using Clockwise this has become natural, simple and without too much effort.” (source)
- "Implementing Clockwise for our team has been incredibly helpful for blocking large amounts of Focus Time for teammates to do their head down, deep work without interruption from meeting invites and interruptions. It has been so helpful for scheduling meetings amongst teammates and useful for blocking entire days for meeting free days!” (source)
The Bad 🚫
- “I would like to have a console that lives outside of my calendar with more robust configuration options.” (source)
- “The scheduling from Asana could be improved to help with task planning and time management. For example, If I could split up focus time for one large task more seamlessly; instead of creating multiple sub-tasks which are difficult to schedule sequentially using the AI scheduler. There could also be an easier way to cancel auto events without them being re-created in my calendar.” (source)
Reclaim
The Good 🙌
- “It was so easy to use and cost-effective, I had initially tried creating zaps in Zapier to do this and it was so complicated and I couldn't get it to work 100% the way I wanted to. With Relcaim, I was able to connect all 6 calendars I have to manage and it instantly reduced my stress level. It made sure all my calendars worked and I didn't get double booked!”(source)
- “I have multiple projects, recurring tasks, and very limited hours every other week because of parenting. But Reclaim.AI allows me to set up schedules that take those things into account, adjust according to what I finish early or need more time for, and make room for my appointments for my business. It's amazing.” (source)
The Bad 🚫
- Some improved abilities to revise past calendar activities and manually allocate time to Reclaim.ai tasks. Specifically, the ability to create a future event at a specific time for a Reclaim.ai task would be useful. (source)
- Once you start using Reclaim, you need to commit to using it for all your tasks and time management. A spontaneous work session or interruption requires manual adjustments to get your schedule back on track. (source)
Why Motion is the better option
Ultimately, between Clockwise and Reclaim, it really comes down to what you need.
If you need more help protecting your calendar and integrating it with your existing project management tools - Reclaim is definitely your best option.
However, if you want more assistance protecting your team’s time, and scheduling meetings, and and you’re not looking for a project management replacement - we recommend Clockwise.
But honestly, as we’ve already mentioned, Motion is a far better option than both of these tools and it can replace multiple tools within your tool stack.
Let's dive into why Motion is the best calendar management, and productivity tool in the space.
Why use Motion?
I’ve already explained some of the areas where Motion thrives, but there is so much more I need to cover!
Below, you’ll see who Motion helps, and exactly what it can do. Motion is perfect for:
- Small to medium-sized teams (1-50 employees) looking for an innovative project management tool.
- Busy professionals who need a powerful daily planner.
- Freelancers, contractors, and students seeking a productivity boost.
- Teams that want to manage their workload more efficiently without spending hours on task management.
What can Motion do?
I think the real question here is “What can’t Motion do?” Motion thrives as a project manager, daily planner, scheduler, and calendar app.
Learn more about all of these advanced features, below.
Project management
Most project management tools make you spend hours re-evaluating deadlines and shifting tasks.
They don't even consider your calendar, so you end up double-booking yourself into oblivion.
Motion is different. It's in a league of its own with built-in calendar scheduling that takes your tasks, deadlines, and meetings into account.
And when things don't go as planned (because they never do), Motion automatically re-prioritizes your tasks and calendar, reducing stress and cognitive load.
You can organize projects in different workspaces, view to-dos in a list or Kanban board views, set task dependencies, and collaborate with team members—all in one place.
Daily planner
If you're more into daily planning than full-on project management, Motion has you covered.
Using AI, it combines tasks and calendar events, time blocking, and prioritization to create a planner that feels like having a personal assistant.
It's ideal for solopreneurs, freelancers, and students.
Calendar app
Motion's calendar app is a beauty. It includes features like Travel Time, which you can add with a click, making it stand out even when compared to Google Calendar.
You can easily add travel time before or after events in 15-minute intervals.
Scheduler
When it comes to scheduling meetings, Motion is top-notch.
It allows you to create meeting scheduler pages that reflect your actual availability, taking into account both personal and team calendars.
You can even generate plain-text meeting requests, making the scheduling process smoother than ever.
We also already talked about it’s ability to ask preliminary questions in the booking process, and it’s ability to generate different links based on meeting priority.
How much does Motion cost?
Motion offers a fair pricing model for all its features. Individual plans start at $19 per month (annual) or $34 (monthly), while team plans are $12 per user (annual) or $20 (monthly).
Given its capabilities, Motion is a solid investment.
