Update a stage once to see changes applied across all templates using that stage, ensuring process consistency and saving time. Smart updates ensure that changes only affect future work, not projects currently in progress.

Standardize Processes, Save Time, and Ensure Quality with Reusable Stages

Creating consistent workflows across multiple projects can be challenging—until now. We're excited to introduce Reusable Stages, a powerful enhancement to Motion that allows you to standardize your processes and maintain consistency across all your Project Templates.

Let's dive in!

What are Reusable Stages?

Reusable Stages transform how you manage Project Templates in Motion. Instead of recreating the same stages for different templates, you can now define stages as standalone entities that can be shared across multiple Templates. When you update a stage, the changes automatically apply to all templates using that stage, saving you time and keeping your processes aligned.

Here's what you can do with Reusable Stages:

  • Standardize Processes: Ensure that every project follows the same proven workflow for each stage.
  • Update Once, Apply Everywhere: When you improve a stage, the changes automatically apply to all templates using that stage.
  • Maintain Consistency: Keep your team aligned with standardized workflows across projects and departments.
  • Scale Efficiently: Create new Templates faster by reusing existing stages instead of starting from scratch.

How to use Reusable Stages in Motion

1. Accessing Your Stages Repository

Your existing stages have been automatically migrated to become reusable. You can find them in the Project Template section of your workspace settings under  Workspace Stages

From here, you can:

  • View all available stages
  • Create new stages
  • Edit existing stages
  • See which Templates and which active projects are using each stage

2. Creating and Editing Stages

Creating or editing a stage is simple:

  • Hit the Create stage button
  • Define the stage name and any additional data like color, duration, roles and variables
  • Add tasks and set their properties
  • Save the stage to make it available across your workspace

When you edit a stage, Motion will notify you about which templates will be affected by your changes.

3. Using Stages in Templates

When creating or editing a Template, you can now select from your repository of reusable stages:

  • All the stages in the workspace will show up under "Add existing stage"
  • You can also choose to create a new stage to save to your workspace

4. Smart Updates

A key feature of Reusable Stages is intelligent updates:

🟢 Active Projects: When you update a stage, changes will automatically apply to projects that haven't reached that stage yet.

🔴 In-Progress Stages: Projects currently in a stage or that have completed it won't be affected by updates, ensuring ongoing work isn't disrupted.

Moving your existing Project Templates

Good news! We've done the heavy lifting for you:

  • Your existing Project Templates have been automatically migrated to the new reusable stages model
  • All your projects continue to function exactly as before
  • You can immediately start enjoying the benefits of reusable stages

After this change, you might notice duplicate stages with similar names. While everything will work as expected, you may want to clean up by:

  1. Selecting your preferred version of each duplicate
  2. Updating templates to use your chosen version
  3. Removing unnecessary duplicates

This cleanup step is completely optional and can be done at your convenience.
