Managing your team’s schedule just got easier with our latest feature—Out of Office (OOO) events in the Gantt chart. Whether it’s a public holiday or an individual team member's vacation, you can now visualize time off directly in your project timeline. Here's how it works.

1. Global Holiday Calendar (or any shared calendar)

You can now add a holiday calendar at the top of your Gantt chart. This calendar applies to all rows, making it simple to see when your entire team is unavailable due to public holidays or company-wide days off. No more guessing who’s available and who’s not—everything is right there in front of you. How to use it:

  • Go to your Gantt chart view.
  • Click on the new "Calendar" button on the filter row.
  • Choose the calendar you want to display in this view. This feature ensures everyone is on the same page and helps avoid scheduling conflicts on days when no one is around to work.

2. Toggle Individual OOO Events

In addition to the global holiday calendar, you can now toggle the visibility of individual team members' Out of Office events. This feature allows you to see who’s on leave and when, directly within the Gantt chart. This makes planning and resource allocation a breeze—no more double-checking in separate calendars. How to use it:

  • Open your Gantt chart.
  • Click on the new "Calendar" button on the filter row.
  • Toggle the "Show OOO events when grouped by assignee"
  • Turn it on to display each team member’s OOO events. Now, each team member's time off is visible right where you need it, giving you a clear picture of who’s available for upcoming tasks.

Note: this works when grouped by assignee, or by any custom field of type "Person"

Why It Matters

This feature is all about visibility and planning. With both global and individual OOO events displayed in your Gantt chart, you can better manage your team’s workload and avoid scheduling conflicts. It’s one more way Motion helps you keep everything running smoothly, even when some of your team members are taking a well-deserved break.
